Follow the workflow mentioned above to land on the Agency screen.
Here, the stats for sub-accounts are displayed via four tiles that include Total sub-accounts, Paid sub-accounts, Unpaid sub-accounts, and Trial sub-accounts.
At the top right corner, you will find the export button. This button allows you to export your sub-accounts list with all the information of your sub-accounts. Once you click on this tab, a list would be downloaded which contains your sub-accounts data.
This is followed by the display of your subscription usage, your current subaccount usage and upcoming invoice for subaccounts if you have exceeded the limit of three free subaccounts and you do not have an unlimited subscription. The last tab also allows you to modify or cancel your subscription. You can track your subaccount usage through the current usage tab and monitor your payments for subaccounts as well.
On the next tabs, you can filter your subaccounts list based on the subaccount status (Paid, Unpaid, Trial, Deleted)
Unpaid Subaccounts refers to subaccounts that have completed the free trial period and have not made any payment to continue usage, these subaccounts are usually blocked.
Paid Subaccounts refer to subaccounts that have either made payments to continue usage or have had their payment dates or plan manually changed from the change plan tab. ✅It is very important to remember that if the change plan button is tampered with, the system will automatically mark that subaccount as paid whether payment was actually received or not. What this implies is that, when the system marks the subaccount as paid, if it exceeds the limit of free subaccounts, you will be charged.
Trial Subaccounts refer to subaccounts on trial, this could mean that the subaccount recently signed up for the 14days trial and it could also mean that the 14days trial was reset for this subaccount after the subaccount completed the initial 14days trial. ✅The agency has the opportunity to reset the trial period for each subaccount once after the subaccount has completed the initial 14days trial. A restart trial button usually appears 24 hours after the initial 14days trial has been completed.
Next we have the actions tab and the search bar. The actions tab allows you to complete different actions such as adding subaccounts, deleting subaccounts, applying snapshots to subaccounts and exporting snapshots from subaccounts. The search bar gives you the opportunity to search for subaccounts through the subaccount name, email, phone number or company ID.
This is followed by the existing sub-accounts tabulated. Information is presented via various columns that include User Name, Actions, Registration Date, Plans, Status.
To add a sub-account, click the actions tab and click on the Add sub-account button at the top of the list. This opens the Create Sub-Account popup. ✅If the add subaccount button is greyed out, you need to check your domain, if your domain is connected correctly or if your domain has expired.
Here, use the First Name field to enter the first name for the sub-account.
Enter the last name in the Last Name field.
Enter the organization name in the Company Name field.
Use the Contact Number field to record the contact number.
Enter the email address in the Email field.
Use the password to create a password.
Use the Repeat Password to re-enter your set password for confirmation.
Use the dropdowns under Plan heading to set the payment frequency. The first dropdown includes the First, Second, and Third options whereas the second dropdown includes Month, Quarter, and Year. Selecting First and Month means the payment processing will be done during the first month.
Use The plan expiration date calendar to set the date of expiry for the plan.
In case you want to edit prices, enable the Edit Prices toggle button.
This reveals additional fields that let you define the monthly cost for each time duration (year, quarter, month).
Once the selections are made, click the Add button. This adds the sub-account and lists it in the table.
From the bottom of the page, click the Sub-Accounts icon or the subaccounts tab . Doing so takes you to the Sub-Accounts screen.
