# Reward Card & Toast

Setting Up the Reward Card for the Toast Integration

This article explains how to set up the **Reward card** after the main Toast integration is already connected (see the article **"**[Toast POS](https://docs.boomerangme.cards/integrations/toast-pos)**"**).

*the video shows the same steps described below in text. You can watch the video or read the article — whichever works better for you.*

Once the integration is connected (see **Settings → Integrations**, status **Active**, linked **Reward card**), you need to finish setting up the reward card itself — the point-earning rule and the rewards. All these settings are located here: **Card → Edit → Settings**.

#### Reward Program — 4 point-earning modes

The **Reward Program** block has 4 options:

* **Products** — give points for specific items in the order.
* **Points** — give points based on your own rules, set manually (no automatic logic).
* **Spend** — give points based on how much the customer spends.
* **Visit** — give points based on the customer's visit.

> ⚠️ You can technically select **Points** even while the Toast integration is active — the option isn't blocked. But it won't actually work: this mode has no fixed rule, so a manager has to enter the number of points by hand every time, and an automatic integration needs a clear rule to follow. So only three modes actually work with Toast — **Products, Spend, Visit**.

#### Products mode (the main one for Toast)

When you select **Products**, a menu search appears below it — your full Toast menu is pulled in automatically (you can search by name, e.g. typing "toma" finds "Tomato Pie").

<figure><img src="https://121681468-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FBfW4nnOu4AysbkbyxNug%2Fuploads%2Fkh5QJKmp9Ol8But18LWe%2Fimage.png?alt=media&amp;token=43bfcf23-9132-4c39-b938-63721a790c92" alt=""><figcaption></figcaption></figure>

Check the items you want — each selected item is added to the **Selected SKU** block below, where you set two fields for it:

* **Purchased items** — how many units the customer needs to buy.
* **Accrued points** — how many points they get for that amount.

You can add as many items as you like — each with its own rule. For example: Lamb Salad — 1 unit = 15 points, Avocado Toast — 2 units = 10 points. All of this can be changed anytime, even while the card is already active.

#### Rewards — what the customer gets

Further down in the same settings, there's a block called **"How do you want to reward your customers?"**. You can create as many reward levels as you like. For each one:

* **Reward level name** — the name of the level (e.g. "$10 off coupon for the next purchase").
* Upload an image for this level (minimum 1125×432px, PNG only, up to 3 MB).
* **Reward points earned** — how many points the customer needs to collect.
* **Reward type** — the type of reward.
* **Usage limit** / **Limit period** — a limit on how many times it can be used in a given period.

**Reward types**

* **Order ($ OFF)** — a dollar discount on the whole order.
* **Order (% OFF)** — a percentage discount on the whole order.
* **Item ($ OFF)** — a dollar discount on a specific item or items.
* **Item (% OFF)** — a percentage discount on a specific item or items.
* **Custom** — opens custom reward conditions. Use this option if none of the standard types fit what you need.

When you choose **Item ($ OFF)** or **Item (% OFF)**, these fields appear below:

* **Max. Discount Amount** — the maximum discount amount/percentage for the reward level as a whole.
* **Available SKU** — the same Toast menu search, where you pick the specific item (e.g. Tomato Pie) the discount applies to. This field is required — if you don't select at least one item, you'll see an error: **"Select one or more items"**, and the **Settings** tab turns red.

Once you pick an item, it appears in the **Selected SKU** block — and you need to set its final discounted price (i.e., how much the item will cost when the customer redeems it as a reward). For example: **Grilled Steak** — regular menu price $12, and you set the reward price to **$6** — that's exactly what the customer pays when redeeming the reward. You can add several items at once with the **Add reward** button — the customer will then be able to pick any one of them.

There are a few more settings for a reward level below:

* **Apply the discount to all items in the category** — a toggle that extends the discount to every item in the same menu category, not just the one you selected.
* **Tax Handling on Redemption** — how tax is handled when the reward is redeemed (default: "Tax not included in the price").

#### What the Spend and Visit modes look like

**Spend (points for money spent)**

A simple rule: **$X = Y points** (e.g., $1 = 10 points). Rewards are set up exactly the same way as in Products (same reward types — Order/Item, $/%) — just without picking specific items on the earning side, since points are earned on the whole order amount.

**Visit (points for a visit)**

This rule is fixed: **1 visit = Y points** (the number of visits can't be changed — only the number of points is editable). There's a checkbox, **"Restrict to 1 check-in per customer per day"** — it limits point-earning to one visit per customer per day. If this restriction is turned on and a customer visits the restaurant three times in one day, only one visit counts toward loyalty.

This rule doesn't depend on the purchase amount or on specific menu items — all that matters is that the customer came in, visited the restaurant, and placed an order; that's what earns them points.

#### What this looks like in Boomerang (customer profile)

Once a customer places an order in Toast and is found/linked to the check, the points show up in their profile in Boomerang (**Customer profile** → the **Reward card**).

* While the card isn't installed to a wallet yet, the status shows **"Not installed"** (this doesn't stop points from being earned — earning points and installing the card aren't directly connected).
* **Bonus balance** — the customer's current point balance, updated right after the order.
* **Last available reward** — once the customer has enough points, the name of the nearest available reward shows up here (e.g., "%10 off coupon for...").

After the next visit (for example, a purchase worth 40 points), the balance updates, and once there are enough points, a reward becomes available:

**Transaction history**

Further down in the customer profile is a table with every event on the card: **Template, Event, Amount, Balance, Transaction amount, Manager, Company, Charging device type, Comment**.

* Every purchase creates several rows at once: **Transaction amount** (the order total), **Bonus points earned** (the points earned), **Visit logged** (the visit is counted — this happens no matter which mode is active, not just Visit).
* The **Company** column shows the specific Toast location (e.g., "Restaurant No. 1").
* The **Charging device type** column for these rows always shows **integration** — meaning the points were earned automatically through the integration, not manually.

#### **Redeeming a reward**

When a customer redeems a reward in Toast, two more rows appear in the same table: **Rewards redeemed** (the reward itself) and **Bonus points redeemed** (the number of points spent on it — e.g., 25 points for a 10% discount).

The customer gets a push notification every time they earn points and every time they redeem a reward.

#### What this looks like in Toast (reports)

Reward activity is also visible on the Toast side — under **Payments** (Toast Dashboard → Reports → Sales → Payments), in the details of a specific order (**Order Details**):

* The **Items** block shows the order itself (item, price, discount, total).
* The **Discounts** block shows the reward that was applied: **name**, **discount amount**, **date applied**, and **Approver** (the employee who approved the reward).
* The **Payments** block shows the payment method and the total amount.

> ℹ️ Name your reward levels (**Reward level name**) as clearly as possible — this name shows up in full in Toast's reports (in the **Discounts** column), and it needs to make sense not just to the customer, but also to the restaurant owner/manager when they're reviewing reports.

#### What this looks like on the Toast terminal (cashier)

1. The cashier creates an order and adds items (for example, Tomato Pie + 2× Summer Berry Salad).
2. **Required step** — find and link the customer to the check (by phone number, email, or name — phone search doesn't always work, so try email or name instead). Without this step, the customer won't earn any points.
3. Payment is processed as usual (cash/card) — points are earned automatically once payment goes through.
4. On the customer's next visit (once they're found and linked to the new check), the terminal already shows their current point balance and any available rewards.
5. A reward can be redeemed right at the terminal — it's up to the customer whether they want to use it; once redeemed, the discount is applied to the check immediately.

#### Common questions

> ⚠️ **If a customer's available rewards aren't showing up in Toast:** more items need to be added to the cart so the discount can be applied. The cart total needs to be greater than the discount amount.

> ℹ️ **The user counter in the integration always shows 0** — this is normal, not an error. There's no user syncing in the Toast integration, so on our side, users will always show as 0.

> ℹ️ **You can upload your own customers via a file** and specify how many points each one has, then issue them a card. This needs to be done **after** the card integration is set up — not before.

> ⚠️ **The Toast POS integration is only available for customers located in the United States.**

#### Important

Once you're done with all the settings, don't forget to click **Save** (and make sure all the tabs at the top are green, not red) — otherwise the changes won't be applied.

All other reward card settings (language, date format, number separators, etc.) aren't specific to the Toast integration and are configured following the usual general rules.
